The Importance of Secure File Transfer for Health Care Professionals

As soon as patients and clients provide you with private health information, that data becomes your responsibility. Yet due to the collaborative nature of healthcare, especially with the intersection with insurance claim filing, sharing these files is essential to your completing your work and meeting the patient’s needs.

What is protected under HIPAA compliant document sharing?

HIPAA (Health Insurance Portability and Accountability Act of 1996) is a federal statute mandating the adherence to specific guidelines and rules aimed at safeguarding confidential medical data from unauthorized disclosure in the absence of patient approval. Healthcare entities, insurers, data processing entities, and their business partners must comply with these standards to ensure the security of confidential health information. Additionally, electronic health information (e-HPI) is also subject to the protective provisions of HIPAA.

Achieve Better Patient Outcomes with FileCloud

Digital business processes are crucial for healthcare teams because they provide the right data where you need it, when you need it. FileCloud’s HIPAA file sharing mechanisms gives you a single platform to manage, secure, and collaborate on all your content and processes while adhering to industry standards such as HIPAA. Have fast and secure access to files from the exam room to the medical office and everywhere in between.

FileCloud’s Compliance Center

The Compliance Center is a powerful tool for compliance and IT managers. This interface, specifically the HIPAA tab, clarifies and connects complex HIPAA requirements with actionable policies and settings within FileCloud, allowing managers to see whether or not compliance regulations are met and fix any issues easily.

Compliance requirements are listed in a table, along with FileCloud settings that address the requirement. The “Status” column confirms compliance or depicts the number of violations. The “Actions” column connects users with information and editing options.

Admins control which rules in the configuration to activate.

Already have a solution in place for a requirement outside your FileCloud environment? No problem – simply bypass the rule in the “Actions” column.

Secure Electronic Medical Record Compliance

With increasing data breaches, your IT infrastructure must be able to protect the privacy of clients and patients.

FileCloud provides extensive and powerful HIPAA file transfer features to help support compliance requirements and maintain client trust. These include custom metadata with templates for confidential information like PII or credit card numbers. The Content Classification Engine uses this metadata to automatically scan and apply relevant metadata tags. These tags are then picked up by FileCloud’s smart DLP to ensure any confidential information is kept secure on your FileCloud server.

Why FileCloud is the Best HIPAA Compliant File Transfer Solution

FileCloud supports HIPAA compliance by providing advanced encryption in-transit and at-rest, detailed activity and audit logs, integration with existing network shares, powerful admin tools like reporting, user-friendly data leak prevention, device management, a drive app, and single sign-on capabilities. Additional features include:

  • The Compliance Center with a separate HIPAA tab
  • A built-in tool for previewing DICOM medical images like X-rays, CT scans, and ultrasounds directly in your browser.
  • An enterprise record management system that efficiently manages records throughout document lifecycle, from creation and distribution through archival and deletion. The records management system identifies information to be retained as records, and manages it throughout the document lifecycle for easy retrieval in support of legal proceedings or internal processes.
  • Workflow automation streamlines processing of healthcare file sharing, improving performance, HIPAA compliant document management and reducing human error.
  • Granular permissions for files and folders and designation of users as Group Admins help reduce the administrative load on system admins; users are empowered to customize and manage information under their purview as needed, all while protecting ePHI from unauthorized access.

Powerful File Sharing Features

Public, private, and password-protected shares give you control over what you share and how. Shares can also be sent with expiration dates or download limits. Revoke access at any time or adjust share permissions. Granular subfolder-level permissions provide flexibility when working in Team Folders.

Built-in Document Preview

FileCloud supports a variety of common and specialized file types, including DICOM medical images. Preview files directly in your browser desktop application, or Sync/Drive client. You can also adjust file preview access through global, group, or user-based permission policies.

Faster Access to Data

FileCloud provides easy access to remote data via browser or FileCloud clients, such as FileCloud Drive and Sync. Users can grant access when requested by authorized organizations, and regulators can view, download, and print documents.

Advanced Audit Capabilities

FileCloud keeps track of complete audit logs (what, when, who, where, and how). Detailed share analytics and records of who uploaded, downloaded, deleted, and previewed files from your client portal are available anytime. Logs can be easily exported in CSV files for review.

Unparalleled Security

Get maximum protection from email spoofing and ransomware attacks using FileCloud’s built-in protection. Security includes 256-bit AES SSL encryption for data at-rest and SSL/TLS protocols for data in-transit, two-factor authentication, anti-virus scanning, malware detection, and remote wipe capabilities.

Prevent File Deletion

FileCloud hierarchical retention policies can help prevent accidental file deletion. If any sensitive file is deleted, the system can send email alerts to administrators and supervisors. Deleted files remain in the system, and administrators can restore the files.

Data Loss Prevention

FileCloud’s High Availability architecture ensures strong protection against lost access to records. Unlimited file versioning helps revert data to older versions if needed. FileCloud’s advanced heuristic engine, a proprietary technology, helps identify and prevent ransomware attacks.

View-Only Access

FileCloud can enforce various access levels, from full to ‘view only’ access, which enables users to view files but not download. This system is ideal when coordinating with external vendors, consultants, and insurance companies while handling confidential information.

Summary of HIPAA Compliance Rules

HIPAA compliance rules protect patient privacy. There are three types of rules:

  • Privacy Rules – define the type of information that must be kept private by categorizing it as “Protected Health Information,” (PHI)
  • Security Rules – requires administrative, physical, and technical safeguards to address the confidentiality, integrity, and availability of ePHI
  • Breach Rules – require breaches of unsecured PHI to be notified to HHS, affected individuals, and, in some cases, the media.

HIPAA Protects Specific Types of ePHI:

  • Patient names; names of relatives
  • Geographic subdivisions (smaller than state)
  • Telephone numbers
  • Full Face Photos or Videos
  • Fax numbers
  • Social Security numbers
  • URLs
  • IP address numbers
  • Biometric identifiers
  • E-mail addresses
  • Device identifiers and serial numbers
  • Medical Record Numbers
  • any other unique identifier number

HIPAA requirements protect ePHI in several ways:

  • Limits who may use or disclose PHI
  • Limits the purposes for which PHI may be used or disclosed
  • Limits the amount of information that may be used or disclosed (Minimum necessary rule)
  • Requires use of safeguards over how PHI is used, stored, and disclosed
